Running a team
Everything here is free. Tourneyfly+ is only needed to redeem partner discounts — your team's schedule, votes, meals, polls, and itinerary all work without it.
1. Create your team
- Team tab → Create a team. Give it the name your families will recognise — “Warriors 12U Blue” beats “Warriors”.
- Whoever creates the team manages it. You can add the sport, age group, season, and home city, but only the name is required.
You can manage more than one team, and be a plain member of others. Every team screen has a switcher at the top once you belong to two or more.
2. Share the join code
- Your team page shows a join code with a copy button. Paste it into your team's group text — that is where families already are.
- Anyone with the code can join and see the team's schedule, meals, votes, polls, and itinerary.
The code never expires, and it is the only thing standing between your team's plans and anyone who has it. Share it the way you would a group chat invite.
3. Add the weekend's games
- Team tab → Schedule → Add games. Each game takes an opponent, date and time, field, and address.
- The address becomes a Directions link, so a parent lost between venues can tap straight through to maps.
- The team page shows the next five; the full list lives behind “Full schedule”.
4. Post an announcement when plans change
- The box at the top of the team page. Managers only, and there is one at a time — posting a new one replaces the old.
- Families see it above everything else, with a “New” marker until they have read it.
This is the loudest thing in the app. Use it for “Game 2 moved to Field 4, be there by 2:30”, not for general chat.
5. Let families pick dinner
Anyone on the team can start a vote — not just you.
- Dinner votes → New vote. Give it a title, pick two or more restaurants, and set when voting closes.
- Everyone sees the running count. Partner restaurants show their discount right on the option.
- Voting stops at the closing time. You can also close it early from the vote itself.
6. Turn the winning vote into a meal
This is the step most people miss.
- Open the closed vote. It shows the winner with a “Schedule …” button that carries the restaurant straight into the meal form — you only pick a time.
- On the team page, a closed vote that still needs this is highlighted with a “Schedule” tag until you do it.
- Once booked, the vote says “Dinner booked” and links to the meal, so nobody schedules the same dinner twice.
If the vote ties, you get a button for each tied restaurant and pick one. The app will not choose for you.
7. Collect RSVPs
- A meal shows a headcount and how many families have not replied yet.
- Families answering “We're coming” enter how many adults and children, which is what gives you a real number for the restaurant.
- “Can't make it” is one tap straight from the team page.
An unanswered meal shows as a dark card at the top of the meals list, so it is hard to scroll past. It goes quiet once someone answers.
8. Settle the small questions with a poll
- Polls → New poll. Managers only. Good for hotel departure times, meeting spots, or what to do between games.
- Set a closing time or leave it open. Results are visible to the whole team as they come in.
9. Keep the weekend in one place
- The Itinerary shows games, team meals, and anything else you add — check-in, a team photo, the drive home — in time order.
- Only what is still ahead is shown. Anything more than two hours past its start moves into “Completed”, which you can expand.
- Meals appear here automatically once scheduled. You do not add them twice.
10. Discounts, if you want them
- Tourneyfly+ unlocks one thing: redeeming discounts at partner restaurants. A Weekend pass is $9.99 for a week, a Season pass is $39.99 for five months, and Annual is $64.99.
- A member opens the restaurant, taps Redeem, and shows the code to staff. It lasts 60 minutes and the screen shows a live clock.
- Staff apply the discount through their own till. There is nothing for them to scan.
Every family pays for their own. There is no team plan, and a manager cannot buy one on someone else's behalf. A Weekend pass runs for seven days from purchase, so buy it the week of the tournament.
